Vendor Guidelines & Requirements
✅ Secure your spot by applying and paying the vendor fee (approval required)
✅ Must offer gaming or geek culture-related products or services
✅ Follow all event rules including professional conduct and proper licensing
✅ Code of Conduct posted at gameandgeekexpo.com/code-of-conduct
Products & Sales
- No selling of bootlegs, pirated software, or knock-off merchandise
- All products must be appropriate for a general convention audience
- Vendors are responsible for collecting and remitting any applicable sales tax on their own sales
- GGE is not responsible for any vendor transactions, disputes, or returns between vendors and attendees
Booth & Setup
- Vendors are responsible for setting up and breaking down their own booth within the allotted time windows
- All displays, shelves, and additional furniture must fit within your reserved space
- Tablecloths, pipe, and drape are not provided — bring your own if desired
- Booth must be staffed and ready to open by 9:30am each day (or the advertised time)
- Vendors may not expand into neighboring spaces or aisles
Conduct
- Professional behavior is required at all times toward attendees, staff, fellow vendors, and guests
- Violations may result in immediate removal from the event and being banned from future GGE and Raleigh Retro Gamers events
- Code of conduct applies both on the show floor and online including social media
Refund Policy
- Vendor fees are non-refundable within 30 days of the event
- Cancellations made more than 30 days before the event may be eligible for a partial refund or credit at GGE’s discretion
- No shows on event day forfeit their fee entirely with no exceptions
General
- GGE is not responsible for lost, stolen, or damaged merchandise or equipment
- Vendors are encouraged to carry their own insurance for their inventory and equipment
- GGE reserves the right to remove any vendor at any time for violation of these guidelines
- Liability — GGE is not responsible for lost, stolen, or damaged merchandise or equipment during the event or load-in and load-out.
- Insurance — Vendors are encouraged to carry their own insurance for inventory and equipment. GGE cannot be held liable for vendor losses.
- Subletting — Vendors may not sublet, share, or transfer their booth space to another party without prior written approval from GGE.
- Age appropriate content — All products and displays must be appropriate for a general convention audience including minors. Adult content must be kept out of sight or approved in advance by GGE.
- Right to refuse — GGE reserves the right to refuse or remove any vendor at any time for violation of these guidelines without refund.
Public Statements & Feedback
- Vendors are encouraged to share honest feedback about their experience directly with GGE staff at [email protected] — we take all feedback seriously and want to make every show better
- Vendors agree not to make false, misleading, or defamatory statements about GGE, Raleigh Retro Gamers LLC, its staff, guests, or fellow vendors on any public platform
- Disputes or concerns should be communicated directly to GGE before being posted publicly — we will always do our best to make it right
- GGE reserves the right to remove vendors from future events if public statements are found to be intentionally harmful or defamatory in nature
